Privacy Policy

When you contact us, you may be sharing information about some of the most personal parts of your life. We take that responsibility seriously.

This policy explains what information we collect, why we need it, how we use it and your rights.

  1. Who we are

All Law Limited, trading as all Law, is a company registered in England and Wales under company number 14288222. We are authorised and regulated by the Solicitors Regulation Authority.

All Law Limited is the “data controller”. This means we are responsible for deciding how and why your personal information is used.

This policy covers people who visit our website, enquire about our services or instruct us. It also covers other people whose information we handle when providing legal services, including family members, beneficiaries, attorneys, witnesses and other parties.

  1. The information we collect

The information we need depends on your enquiry or the work you ask us to do. It may include:

  • Your name, address, date of birth and contact details.
  • Identification documents and information needed to check your identity, source of funds or potential conflicts of interest.
  • Information about your family, relationships, dependants, assets, property and financial circumstances.
  • Employment, military service, earnings and pension information.
  • Medical records, reports and information about your health or capacity.
  • Information about a claim, dispute or other legal matter.
  • Correspondence, documents, meeting notes, instructions and payment records.
  • Your communication and marketing preferences.
  • Technical information about your use of our website, such as your IP address, browser and device information, where collected by our website services.

Some matters involve particularly sensitive information, such as health information, religious beliefs, ethnicity or sexual orientation. We may also need information about criminal allegations, offences or convictions.

We only collect information relevant to the purpose for which it is needed.

  1. Where your information comes from

We usually receive information directly from you when you contact us, complete a form, provide documents or speak with us.

Where relevant to your matter, we may also receive information from:

  • Someone you have authorised to speak on your behalf.
  • Other solicitors, professional advisers or an organisation that referred you to us.
  • Family members, executors, beneficiaries, attorneys, witnesses or other parties.
  • Healthcare providers, medical experts, employers or the Ministry of Defence.
  • Courts, public bodies, insurers and organisations involved in your matter.
  • Identity-checking providers and public sources, such as HM Land Registry and Companies House.
  1. Why we use your information

We use personal information to answer enquiries, provide legal services, manage our business and meet our obligations.

Data protection law requires us to have a lawful basis for doing so. Depending on the circumstances, we rely on:

Taking steps before entering into a contract, or performing our contract with you. This includes discussing your instructions, providing advice, carrying out agreed work and managing billing and payments.

Complying with legal obligations. This includes applicable identity and anti-money laundering checks, accounting requirements, court orders and regulatory obligations.

Legitimate interests. These include managing and protecting our business, checking conflicts, keeping systems secure, managing complaints, recovering unpaid fees and establishing, exercising or defending legal rights. This may also cover information about other people that we need when acting for a client. We consider those interests alongside the rights and interests of the people concerned.

Consent. We rely on consent where appropriate, including for marketing communications where consent is required. You can withdraw your consent by contacting us. Withdrawal does not affect the lawfulness of anything we did before you withdrew it.

Where we use particularly sensitive information, we also need an additional legal condition. This will commonly be that the information is necessary to establish, exercise or defend legal claims, including obtaining legal advice. In other circumstances, we may rely on your explicit consent or another applicable condition under data protection law.

We process information about criminal allegations, offences or convictions only where authorised by law, including where necessary for legal advice or legal proceedings.

If you do not provide information we need to carry out your instructions or meet our legal obligations, we may be unable to accept or continue acting for you. We will explain this where relevant.

  1. Who we share information with

We share information where necessary for your matter, to operate our business or to meet legal obligations. Depending on the circumstances, recipients may include:

  • Barristers, other solicitors, medical experts and other professional advisers.
  • Courts, tribunals, other parties and their representatives.
  • Organisations such as HMRC, HM Land Registry, the Office of the Public Guardian and the Ministry of Defence.
  • Healthcare providers, employers and organisations holding relevant records.
  • Insurers, legal expenses insurers and funding providers, where relevant to your arrangements.
  • Banks, payment providers and identity-checking services.
  • Providers of case management, IT, email, hosting, document storage and administrative services.
  • Our accountants, auditors, professional indemnity insurers, regulators and advisers.

We share only what is needed and take account of our duties of confidentiality and legal professional privilege. An arrangement with an introducer or funding provider does not, by itself, permit us to disclose confidential information.

Where a supplier processes information on our behalf, we require appropriate contractual protections.

If we cannot assist and propose referring you to another firm, we will obtain your permission before passing your enquiry details to them.

  1. Keeping your information secure

We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse or disclosure.

Access is restricted to people who need the information for their work. We also require appropriate confidentiality and security arrangements from suppliers handling information on our behalf.

  1. Information processed outside the UK

Some service providers may store or access personal information outside the UK.

Where this involves a restricted international transfer, we must have a valid transfer mechanism. This may be UK adequacy regulations or approved contractual safeguards, together with any necessary assessment and additional protection.

You can contact us for information about relevant transfers and how to obtain a copy of the safeguards used.

  1. How long we keep information

We keep personal information for as long as needed for the purpose for which it was collected, including applicable legal, regulatory and professional requirements. This is typically up to 6 years.

When deciding how long to retain information, we consider:

  • The type of work and whether it is complete.
  • The possibility of future claims, complaints or disputes.
  • Applicable limitation periods and record-keeping requirements.
  • Whether the matter involves children or someone who lacks capacity.
  • Any agreement to store original documents or provide ongoing services.

Wills, LPAs and other original documents may need to be stored for longer than routine correspondence or enquiry records.

When information is no longer needed, we securely delete or destroy it, or anonymise it where appropriate.

  1. Helpful updates and marketing

Where you have agreed to receive updates, we may contact you about our services, legal developments or resources that may interest you.

You can change your mind at any time by using the unsubscribe option in our messages or contacting us.

Choosing not to receive marketing does not affect the legal services we provide. We may still contact you about your enquiry, instructions or matter.

You have an absolute right to object to the use of your personal information for direct marketing.

  1. Our website and cookies

Our website may use cookies and similar technologies. Our Cookie Policy explains which technologies are used, their purposes, how long they last and how to manage your choices.

Where consent is legally required, we ask for it before using those technologies.

Other websites linked from ours have their own privacy policies. Please read those policies before providing information to them.

  1. Your rights

Depending on the circumstances, you may have the right to:

  • Obtain a copy of your personal information.
  • Have inaccurate information corrected and incomplete information completed.
  • Ask us to erase information.
  • Ask us to restrict how we use information.
  • Receive certain information in a portable format.
  • Withdraw consent where we rely on it.

Where we rely on legitimate interests, you can object to our use of your information for reasons relating to your particular circumstances.

These rights are not absolute. For example, we may need to retain information to comply with the law or deal with legal claims. Legal professional privilege and the rights of other people may also affect what we can disclose.

To exercise a right, contact us using the details above. We may need to verify your identity. We normally respond within one month, subject to any extensions or adjustments permitted by law, which we will explain where applicable.

  1. Concerns or complaints

If you are concerned about how we handle your information, please contact us. We will investigate and respond.

You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator. You do not have to complete our complaints process before contacting it.
